In 2018, Artefact experienced unprecedented growth. The company then turned to the services of Napta in order to continue with peace of mind. At the time, two problems had to be answered. The first was the standardization of the staffing process on an international scale. The second, improving the management of the workload rate of employees spread around the world.

The concerns of the Artefact group were linked to 4 central issues. The lack of transparency in staffing led to tensions and slowdowns in exchanges between staffing managers and employees. The quality of staffing was also not optimal, because some crucial data on employees (leave/absences/skills) was completely absent from the company's radars. As a result, staffing managers were wasting valuable time on time-consuming tasks. At the same time, the load rate was not in good health: a solution had to be found to optimize it as soon as possible.

How Napta transformed processes

The implementation of a solution dedicated to staffing management at Artefact has made it possible to transform company processes sustainably and smoothly.

Napta opted for an optimized process, in 4 key steps:

  • A connection between Napta and Artefact's HRIS was also established to retrieve and centralize information concerning employees in the staffing solution.
  • All commercial opportunities and staffing requests for signed projects were also retrieved from the CRM. Since then, the data has been visible in real time on the staffing software.
  • The staffing managers of each entity can thus learn about opportunities and respond to staffing requests associated with signed projects, depending on the availability, skills or aspirations of employees.
  • Managers and staffing managers update the staffing of employees around the world, even during the project. A simple, effective and intuitive solution for managers and staff alike.

Cohesion and collaboration between the Artefact and Napta teams were the key to success, and the results were up to expectations!

First, the staffing software allowed employees to gain autonomy and satisfaction. They have access to commercial opportunities in real time and position themselves via the Like system.

In addition, the overall occupancy rate has reached 80% with the possibility of building different, comparable and adjustable staffing scenarios before being validated and approved.

Finally, regarding the quality of staffing, it has been optimized to its peak! Staffing managers save precious time on a daily basis, ensuring that they manage each project more easily.
